Overview

The Sales & Service Administrator supports both sales and after-sales operations for vacuum components, systems, and service solutions within the Semiconductor and/or Industrial segments.
The role ensures efficient coordination between customers, Sales Team, Service Team, and internal departments such as Finance and Technical Marketing, managing the full process from quotation to invoicing.
This position contributes to smooth execution, customer satisfaction, and overall business performance.


Key Responsibilities

• Prepare and manage quotations and customer orders for components, systems, and services using SAP and CRM (C4C).
• Support the Sales Team in handling offers, tenders, and customer requests, ensuring accuracy and timely follow-up.
• Support the Service Manager and Service Team in planning, scheduling, and tracking preventive and corrective maintenance activities.
• Assist in the preparation, monitoring, and renewal of Service Agreements, ensuring alignment with customer needs and contract terms.
• Prepare post-service documentation (reports, delivery notes, invoicing data) and support Finance for billing and reporting.
• Maintain proactive communication with customers regarding orders, interventions, and spare part requests.
• Collaborate with Technical Marketing, Finance, and Supply Chain to ensure consistency between offers, execution, and documentation.
• Contribute to monthly sales and service performance reports (orders, backlog, KPIs).
• Ensure accurate administrative management and documentation archiving across all customer-related processes.


Requirements

• Degree or High School Diploma with at least 2 years’ experience in Sales or Service Administration.
• Proficiency in SAP  and CRM systems (C4C, Salesforce).
• Strong skills in Microsoft Office, especially Excel and PowerPoint.
• Excellent organizational and communication abilities in Italian and English.
• Accuracy, teamwork, and ability to manage priorities in dynamic environments.
• Knowledge of technical or industrial service operations is a plus.
