Job summary

As an Outbound Logistics Specialist, you are accountable for the end-to-end outbound logistics execution, ensuring that customer deliveries are on time, in full, at the right cost and quality, while maintaining operational excellence and compliance.

You coordinate daily shipping activities, manage transportation partners, optimize outbound flows, and continuously improve delivery performance. With strong logistics expertise, analytical skills, and customer‑centric mindset, you ensure seamless collaboration across Warehouse, Customer Service, Planning, Sales, and 3PL providers.

You act as a key contributor in driving transport efficiency, cost optimization, and service reliability in alignment with company objectives.

Key Responsibilities

  • Outbound Delivery Operations:
  • Execute and control the outbound delivery process based on ERP/SAP data.
  • Plan and schedule daily/weekly shipments, ensuring route and load optimization.
  • Validate shipment readiness with warehouse teams (pack, documents, consolidation).
  • Monitor real‑time delivery status and proactively resolve disruptions (delay, damage, mismatch).
  • Ensure correct issuance of shipping documents and POD collection.
  • Guarantee that service requirements (customer SLA, delivery windows, transportation type) are respected.
  • Transportation & 3PL Management:
  • Coordinate with carriers, 3PL, or internal fleet to allocate transport.
  • Assess transport performance via SLA (timeliness, POD quality, damage rate).
  • Identify failures, communicate with carriers, and initiate corrective actions.
  • Support sourcing in evaluating new transport providers when necessary.
  • Propose improvements to routing, load combo, and delivery frequency.
  • Performance Management & KPI Monitoring:
  • Track, analyze, and report daily/weekly/monthly KPIs:
    • On‑time delivery (OTD)
    • Delivery completeness (OTIF / DIFOT)
    • Cost per shipment
    • Damage/claim rate
  • Maintain dashboards and generate insights for continuous improvement.
  • Lead root‑cause analysis for missed deliveries and provide corrective actions.
  • Cost Control & Budget Alignment:
  • Review and validate freight invoices based on contract rates and mileage.
  • Monitor transport cost vs. budget and implement cost‑saving initiatives.
  • Support the annual logistics budget preparation for outbound activities.
  • Process Optimization & Continuous Improvement:
  • Ensure compliance with internal policies and legal transport regulations.
  • Investigate claims (damage, shortage, delivery failure) and initiate CAPA.
  • Maintain a “customer‑first” mindset and ensure clear communication with stakeholders.
  • Support audits related to logistics processes.
  • Quality, Compliance & Customer Satisfaction:
  • Identify inefficiencies and propose structured improvement projects.
  • Support digital transformation projects (TMS, automated routing).
  • Contribute to cross‑functional CI workshops with Planning, Warehouse, Customer Service.
  • Cross‑Functional Collaboration:
  • Act as the outbound logistics representative in daily/weekly alignment meetings.
  • Coordinate with Warehouse on shipment readiness and space management.
  • Collaborate with Customer Service on urgent orders, complaints, and delivery appointments.

Qualifications

  • Functional Competencies:
  • Strong expertise in outbound logistics, transportation planning, and distribution.
  • Good understanding of ERP, SAP and logistics performance tools.
  • Knowledge of freight cost structures and transport compliance requirements.
  • Solid understanding of customer delivery standards and service expectations.
  • Methodological Competencies:
  • Excellent planning and prioritization skills in a fast‑paced environment.
  • Analytical skills to interpret KPIs and drive data‑based decisions.
  • Experience in problem‑solving methodologies (5 Why, Fishbone).
  • Leadership & Interpersonal Competencies:
  • Strong communication across multiple internal and external stakeholders.
  • Ability to influence and collaborate with 3PL and cross‑functional teams.
