Busch Vacuum Solutions is a leading manufacturer of vacuum pumps, compressors, and blowers for use in industries such as semiconductor manufacturing, food processing, metallurgy, biomedical, and material handling.
We have an exciting internal opportunity for an Executive Assistant at our U.S. Headquarters in Virginia Beach, VA.
The Executive Assistant provides high-level administrative and organizational support to the General Manager and serves as a key point of coordination across the organization. This position is responsible for managing a complex calendar, coordinating leadership meetings and business activities, preparing reports and presentations, organizing travel, and ensuring key priorities and follow-up items remain on track.
Working closely with the General Manager, leadership team, employees, and other internal and external stakeholders, the Executive Assistant must be highly organized, proactive, and comfortable managing multiple priorities with a high degree of professionalism, discretion, and confidentiality. This role requires the ability to anticipate needs, exercise sound judgment, and independently resolve administrative and organizational matters.
Working cross-functionally with suppliers, Operations, Sourcing, and other internal teams, the Supply Chain Planner II proactively identifies and resolves material shortages, changing demand, and other supply chain challenges. The role utilizes ERP planning tools and processes, including MRP, forecasting, Master Production Scheduling, and Capacity Requirements Planning, to support material availability, inventory optimization, and overall supply chain performance.
This is a full-time, fully onsite position with a standard schedule of Monday–Friday, 7:00 AM–3:30 PM, with flexibility outside of normal business hours as needed to support business and leadership needs. Occasional domestic travel may be required.
Targeted Compensation: The targeted compensation range for this position is $70,000–$80,000 annually, depending on qualifications, skills, relevant experience, and internal equity.

Job Responsibilities
- Manage and maintain the General Manager’s calendar, including meetings, appointments, travel, and other commitments.
- Coordinate and schedule leadership meetings, staff meetings, business reviews, and organizational events.
- Prepare meeting agendas, presentations, reports, communications, and supporting materials.
- Attend key meetings, capture meeting notes and decisions, and maintain and track action items.
- Serve as a central point of coordination between the General Manager, leadership team, employees, customers, suppliers, and other internal and external stakeholders.
- Draft, proofread, and coordinate professional communications, presentations, announcements, and correspondence on behalf of the General Manager.
- Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries.
- Assist with leadership visits, customer visits, audits, workshops, company events, strategy meetings, and other business activities.
- Support the preparation of monthly, quarterly, and annual business reviews and leadership presentations.
- Maintain organizational calendars, recurring meeting schedules, and key business deadlines.
- Monitor and organize incoming requests and communications requiring the General Manager’s attention.
- Coordinate cross-functional projects and initiatives on behalf of the General Manager as assigned.
- Assist with expense reports, invoices, purchase requests, and other administrative activities.
- Support employee engagement activities, leadership events, and internal company communications.
- Handle sensitive and confidential information with a high degree of professionalism and discretion.
- Anticipate the needs of the General Manager and proactively identify opportunities to improve organization, communication, and efficiency.
- Perform all other duties and responsibilities as assigned.
Required Experience
- Associate degree or equivalent experience: Required
- Bachelor’s degree in Business, Human Resources, or a related field: Preferred
- Minimum of 4 years of administrative assistant experience: Required
- Demonstrated interpersonal skills with the ability to interface effectively with all levels of the organization, both domestically and internationally: Required
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, SharePoint, and Outlook: Required
- Strong written and verbal communication skills.
- Strong organizational, planning, and problem-solving skills.
- Ability to work independently, manage competing priorities, and exercise sound judgment.
- High level of professionalism, confidentiality, integrity, and discretion.
Job Requirements
- Ability and willingness to pass a 10-panel drug screen, 7-year criminal history check
- Most felonies are a disqualifier, misdemeanors are considered on a case-by-case basis
- Ability and willingness to travel domestically up to 5%, including overnight travel for training or other business needs.
- Valid Driver’s License must be maintained throughout employment that meets Busch insurance standards
- Ability to work fully onsite at our U.S. Headquarters in Virginia Beach, VA.
- Ability to maintain flexibility outside of standard business hours when needed to support business and leadership needs.
- Employment with Busch Vacuum Solutions requires current work authorization in the United States. Visa sponsorship is not available.
Physical Requirements
- Frequent sitting and use of a computer and standard office equipment throughout the workday.
- Occasional standing, walking, reaching, bending, squatting, kneeling, and climbing.
- Frequent grasping and manual manipulation.
- Occasional lifting and carrying up to 50 lbs.
- Ability to wear required PPE, including safety glasses, safety footwear, and hearing protection when entering designated manufacturing area

Work Environment
Primarily a climate-controlled office environment at our U.S. Headquarters, with occasional exposure to the manufacturing environment, moderate noise levels, and dust.
